Who we are

ClosedOn Ltd (“we”, “us”) operates closedon.com, a proposal-to-payment platform for freelancers and their clients. ClosedOn Ltd is a company registered in England and Wales (company number 17176458) and acts as the data controller for all personal data processed through this platform.

What we collect

Account data: name, email address, and profile image (via Google OAuth or magic link sign-in).

Proposal data: proposal content, client names, email addresses, and signature records you create through the platform.

Payment data: Stripe processes all payments. We store transaction references (IDs, amounts, status) but never store card numbers or bank details.

Usage data: page views, feature usage, and session recordings (with inputs masked) via PostHog, stored in the EU. Analytics are only collected after you consent via our cookie banner.

How we use your data

To provide the service (proposals, signatures, payments), send transactional emails, monitor errors, and improve the product.

Who we share data with

Only subprocessors required to operate the service: Stripe (payments), Resend (email), PostHog (analytics, EU), Sentry (error monitoring), Railway (hosting). We do not sell your data.

Data retention

Active accounts are retained indefinitely. Cancelled accounts are soft-deleted with a 30-day recovery window, then permanently deleted. Signed contracts are retained for 7 years (legal standard) with personal data anonymised after account deletion.

Your rights

You can request an export of your data, correct inaccuracies, or delete your account at any time from Settings. For GDPR requests, email hello@closedon.com.

We use essential cookies for authentication (session management) and optional analytics cookies (PostHog) that are only set after you consent. You can withdraw consent at any time by clearing your browser cookies.
